Overview

NZInvoicer ("we", "us", "our") provides a quoting and invoicing app built for New Zealand sole traders, freelancers and consultants. This policy explains what personal information we collect, how we use it, and the rights you have over it under New Zealand's Privacy Act 2020.

What we collect

  • Account details - your name, email address, business name, and password. Passwords are stored securely and are never visible to us in plain text.
  • Client and invoice data you enter - your customers' names and contact details, quotes, invoices, rates and line items. This is your business data; we store and process it on your behalf.
  • Basic usage logs - sign-in activity, device and browser information, and error reports, used to keep NZInvoicer reliable and secure.

How we use it

We use your information to operate your account, generate and send your quotes and invoices, provide customer support, and improve the reliability of NZInvoicer. We don't sell your data, and we don't use your client list or invoice data for advertising.

Voice recordings and AI processing

If you use NZInvoicer's voice capture feature, your voice recording is sent to a third-party AI provider (via our AI gateway) to convert your speech into text. The resulting transcript is then sent to an AI model to extract structured details such as line items, customer names and job descriptions. Your voice audio is not stored on our servers - it's used only to produce the transcript and then discarded. The text transcript is retained as part of your chat history so you can review or reuse it later. By using this feature, you consent to your voice recording and transcript being processed by these third-party AI providers.

Who we share it with

We share data only with the providers that make NZInvoicer work - our hosting and database provider, our AI providers (for voice transcription and AI-assisted quote/invoice extraction, as described above), and our payment processor for handling your subscription. These providers only receive the access they need to provide their service to us, and are bound by their own confidentiality and security obligations. We don't sell or rent your data to anyone.

Storage and retention

Your data is stored securely with our hosting provider and kept for as long as your account is active. If you close your account, we delete or anonymise your personal information within a reasonable period, except where we're required to retain records for legal, tax or accounting purposes.

Your rights

Under the Privacy Act 2020, you have the right to access the personal information we hold about you, ask us to correct it, and in most cases ask us to delete it. To make a request, contact us at the address below — we'll respond within a reasonable timeframe.

Cookies

We use a small number of essential cookies to keep you signed in and remember your preferences. We don't use third-party advertising or tracking cookies.
